The City of Brentwood Streamlines Processes with TRAKiT

The Development Services Department of the City of Brentwood, California recently implemented the TRAKiT software suite, developed by CRW Systems, Inc., to streamline their permit tracking, engineering, capital improvement projects, and planning workflow processes. In August 2009, the City went live with PermitTRAK, ProjectTRAK and VoiceTRAKiT Integrated Voice Response. TRAKiT has improved workflow and reporting capabilities in many areas for the City.
The City of Brentwood combined the planning, engineering and building departments to create the 'Development Services' Department. TRAKiT provides a central repository for the 3 groups to work together, improving the workflow processes within the new Department. With TRAKiT the departments are able to communicate better, share related development information and save time for staff and the public.
According to Lloyd Dinkelspiel, Information System Specialist and the City's Project Manager, "It's nice to have all the information in one database." Kathy Gargalikis, Permit Technician Supervisor sees the benefit of having access to related Community Development information associated with a record. 'I like that when issuing permits it links everything together with the parcel information and I can see related encroachment and planning permits," Gargalikis said. Streamlined access to information has been helpful to Development Services staff as well as City Management.
Custom reports created by Michael Truncale, CRW Project Manager, during implementation are working well for the City. The custom monthly report created by Truncale which allows the Building Department to generate a comparison of historical operations on a year to year basis has been particularly beneficial to the City's operations. Overall, Brentwood has seen improvements in their ability to generate essential reports due to TRAKiT's standard reporting capabilities.
Customizations implemented by Truncale, using TRAKiT Extensions are also working well for Brentwood. CRW created an interface to Bi-Tech IFAS, the City's financial accounting system to share updated fee information. According to Dinkelspiel, TRAKiT matches well with the City's work process. He believes the collaboration between the City and CRW has paid off and will continue to do so.
Brentwood selected CRW because the City's previous system was becoming technologically obsolete and they wanted the cutting edge technology found in CRW's TRAKiT System. The City looks forward to expanding their use of TRAKiT to include the Code Enforcement department as well as to provide the public with online access to request inspections and view permitting information via eTRAKiT.
