Summit County integrates multi-departmental business processes with TRAKiT

Summit County, Colorado's Building Department found their data management system difficult to maintain with non-ideal updates and support. The Building, Planning, and Licensing Departments teamed up to find a system that offered a rich user experience while integrating their workflow and enhancing their reporting capabilities. The TRAKiT software suite, developed by CRW Systems, Inc. provided the answer.
 
In August 2009, the County went live with PermitTRAK, ProjectTRAK, CodeTRAK, LicenseTRAK and eTRAKiT internally for the County Assessor's office. The County wanted the benefits offered by the TRAKiT system, including integration of the three departments' data management, a variety of standard report offerings, and the ability to configure the system to meet their changing business needs. Rich Ferris, Assistant Director of Information Systems explains that "TRAKiT is easier to maintain and simple configuration changes are much easier to make" indicating how he has seen a difference in their management processes since going live.
 
The County has seen improvements in their ability to generate essential reports due to TRAKiT's surplus in the variety of standard reports available. With the County's previous system, few reporting options were available. TRAKiT has expanded the County's reporting processes with the ability to create mail merge reports easily from any data in the system including the County's extensive list of custom screens used to track important information.
 
According to Ferris, the customizations implemented by Michael Truncale, CRW Project Manager, are working well for Summit County. The Business Licensing process created by Truncale automates the licensing workflow for renewing licenses including letter generation, fee payment and license issuance/expiration. CRW created an interface to LaserFiche, the County's document management system to save and attach documents to the corresponding record in the system. Additionally, CRW developed an automated process that downloads data directly from the County Assessor's office into LandTRAK.
 
CRW assigned a single project manager responsible for working with the County. Ferris expressed this made the implementation process very smooth from Kickoff to Go Live, "We really enjoyed working with Michael and Pierre Soulie (CRW's Data Conversion Specialist), the technical support we have received from CRW has been very responsive." For Michael Truncale, CRW Project Manager, the feeling was mutual, "The County was a great group to work with and we look forward to a long partnership with them."
 
Summit County looks forward to optimizing their use of TRAKiT. Their future plans include generation of additional custom reports, custom screens and providing more offerings to their citizens.
